When a PCBA order runs late, the assembly line is rarely the reason. SMT placement for a typical batch takes hours, not days. The time goes into everything around it: clarifying files, waiting for parts, waiting for answers. The good news is that buyers control more of that time than they think.

In most delayed projects, component sourcing and back-and-forth on engineering questions account for the majority of the lost days.
Before you send the RFQ
1. Send a complete data package the first time. Gerber or ODB++, a BOM with manufacturer part numbers, a centroid (pick-and-place) file, an assembly drawing and the quantity. Each missing item adds at least one round of email. Our quote package checklist lists exactly what to include.
2. Put manufacturer part numbers on every BOM line. "10k resistor 0402" forces the supplier to choose a part and then ask you to approve it. A full MPN, or two approved alternates, removes that step. 3. Approve alternates up front. Tell the supplier which lines can be substituted with equivalent parts, and which cannot. 4. Check part availability during design. A part with long factory lead time or end-of-life status will set your schedule no matter how fast the factory is. Check stock and lifecycle status before the design is frozen.
When you place the order
5. Answer engineering questions within one working day. Each day a query sits unanswered is a day added to delivery. Name one person on your side who can approve technical questions, and give the supplier their direct contact.
6. Decide on testing before the build. If you need functional testing, send the test procedure and fixture (or fixture design) with the order, not after the boards are assembled.
7. Consider ordering long-lead parts early. For repeat products, authorize the supplier to buy long-lead components ahead of the full order. This can take weeks off production lead time.
For repeat and production orders
8. Keep the same files and revision control. A repeat order with unchanged files can streamline engineering review and reuse the existing stencil and programs. Even a small change should come with a clear revision note.
9. Share a forecast. A rolling three- to six-month forecast lets your supplier plan line capacity and buy components ahead. It is the main difference between a supplier that reacts to orders and one that is ready for them.
What to expect
Prototype lead time depends on the product: board complexity, special materials, component availability and the testing required all play a part, so we confirm a delivery date for each project with the quote. What holds true for every build is that a complete data package, approved alternates and quick answers to engineering questions remove most of the avoidable waiting. Production lead time depends mostly on component availability, which is why levers 3, 4 and 7 matter most for volume orders.
